Epson ColorWorks "Media Form Error" Fix — Your Sensor Mode Is Wrong

Your Epson ColorWorks printer — C3500, C4000, C6000, or C7500 — is doing one of these things: spitting out a meter of labels without printing, showing a "Media Form Error" or "Media Type Error" on the display, or the status light is flashing red. Unlike basic thermal printers that can sometimes auto-detect label types, Epson ColorWorks printers require you to explicitly tell them what kind of media you've loaded. The printer has sensors that detect label boundaries, but these sensors only work correctly when the printer knows what to look for.

This Is What Causes the Error

If your label roll is continuous (no gaps, no marks) but the printer is set to Die-Cut mode, the sensor will search for a gap between labels and never find one. The printer feeds label after label — sometimes a full meter — then gives up and throws a Media Form Error. The same happens in reverse: if you have die-cut labels but the printer is set to Continuous, it ignores the gaps and prints across label boundaries.

Scenario 1: Continuous Labels on a Die-Cut Setting (Most Common)

This is by far the most common scenario, especially for new Epson ColorWorks users:

  1. You load a continuous label roll into a brand-new printer (or one that was previously used with die-cut labels)
  2. You hit print or unpause the printer
  3. The printer feeds about 1 meter of paper without stopping
  4. The display shows "Media Form Error" or "Media Definition Error"

Why? Brand-new Epson printers typically default to Die-Cut (gap detection) mode. The sensor keeps searching for a gap between labels, can't find one on your continuous roll, and eventually gives up with an error.

Scenario 2: Wrong Label Type After Switching Rolls

You were printing fine with die-cut labels, then switched to a different label type (continuous or black mark) and suddenly get the error. The printer still has the old media definition loaded — it doesn't automatically detect what kind of labels you've loaded.

How to Fix: Change Media Definition on Epson C3500

On your computer, go to Windows Settings → Bluetooth & Devices → Printers & Scanners

Click on your Epson ColorWorks C3500 printer → click "Printing Preferences"

Go to the "Media Definition" tab (sometimes labeled "Stock" or "Paper")

Click "Add" or "Edit" to create/modify a media template

Set the Detection Method to match your actual label type:

  • Die-Cut — for labels with visible gaps between them
  • Black Mark — for labels with a black line printed on the backing
  • Continuous — for uncut continuous rolls with no gaps or marks

Enter the correct label width and height (measure the label itself, not the backing paper)

If using Die-Cut, enter the gap size between labels (typically 2–3mm)

Click "Save" — give the template a descriptive name like "100x50 Continuous" or "50x30 Die-Cut"

Make sure this template is selected as the active media definition

How to Fix: Change Media Definition on Epson C7500

The C7500 driver interface is slightly different but the concept is identical:

Open Printing Preferences for your Epson C7500 (same path: Windows Settings → Printers → Printing Preferences)

Navigate to the "Media" or "Media Definition" section

The C7500 has more advanced sensor options — you may see separate fields for Form Detection and Sensor Sensitivity

Set the Form Detection to match your label type (Die-Cut, Black Mark, or Continuous)

Enter accurate label dimensions and gap/mark values

Save the template and ensure it's selected as active

If you use multiple label sizes or types, create a separate media definition template for each one. Name them descriptively — "100x50 Die-Cut 3mm Gap", "Continuous 104mm Wide" — so you can switch quickly without re-entering values every time.

After Changing: Reset the Printer to Ready

Changing the media definition on the computer isn't enough — you need to clear the printer's current state so it picks up the new settings:

On the printer, press the Cancel button

Select "Delete All Formats" from the menu — this clears any queued or cached print jobs with the old media definition

Press the Pause button to unpause the printer and return it to the Ready state

Send a test print — the printer should now detect your labels correctly

Don't Just Unpause

If you unpause the printer without deleting formats first, it may try to print the old queued job with the wrong media definition — and you'll get the same error again. Always delete all formats first, then unpause.
